Assignment One (Welcome to AD 400)
I would like you to walk away from this class with an example you can refer to in your future Project Management Adventures. Towards that end, you are going to plan a party or convention. This assignment is the foundation of several future assignments, so it is worth your time to put some planning into this.
  • Select the type of large multi-person, multi-vendor event you would like to host. A Party or Convention are preferred since just about everyone will understand the players and they are not so complex that you can get lost in the complexity. Check with me first if you want to go off script here, remember I have to evaluate and grade them. Having said this, my whole point of not giving you an event to plan and allowing you to select your own event is to allow you to plan something you would be interested in actually doing. I want you to be motivated to complete the labs associated with this assignment so I will let you go off scriptwithin reason to get your motivation.
  • Create a 1 page outline or overview of the components of your event, to Assist you I have created a set of minimum requirements below, you can exceed these minimums as much as you like.
  • Minimum Requirements for your Event:
    1. Support People - Your event will require at least 10 people to perform the tasks for your event. Take a shot at giving them jobs now, I will let you adjust your work force as we proceed into the class.
    2. Guests - Your event will host a minimum of 100 Guests. They can all be one group or guest type or they can be from multiple groups.
    3. Venue - Your event will require at least 1 venue which you do not own. you will have to schedule and rent this venue. Remember, your venue must support the other aspects of your event.
    4. Food - You will have to provide at least 2 meals at a minimum for your event. Obviously, someone will need to be on top of getting the food from the market to the guest tables.
    5. Lodging - You have over 100 guests, some of them will be from out of the area, you will need to arrange in advance where they are going to stay.
    6. Attendance - How are you going to plan if you do not know who will be attending? At the heart of your planning process is the acquisition of the information about who will be coming. From this you get "How many guests", "Cancellations", "Additions" and much more.
    7. Entertainment - You will need to entertain the people. Even if you have selected a convention as your event you will employ entertainment at least twice during your event. Now if you did select a Convention and you are hosting seminars, someone will need to coordinate that as well.
    8. Event Duration - At a minimum you will plan an all day event, however, it will be a better tool for you to use in the future if it is a multi day event. Realize that event if the event itself is only 1 day long, the effort needed to make the event happen will be weeks or months long.
  • Your one page overview for this lab should be broken down by the way you plan to distribute the effort (who does what). This summary should not exceed 1 page in length (we will call it the Executive summary). You can have more planning, and it will come in handy later in the class, but all I want for this assignment is the 1 page Executive Summary.
